How does AI draft a proposal or quote from past projects?

It starts from the proposals that already won. Hastings reads the new brief, finds the closest winning proposals, applies your pricing logic, and writes a full first draft in your template with the source of every claim marked.

What goes into a first draft
MaterialWhat the draft takes from it
The briefThe customer's requirements and deadline

The film shows a brewery group asking for a proposal by Friday and receiving a full first draft two days before the deadline.

Who sets the price?

The sales director reviews the draft and sets the final price. The quote logic is a starting point built from comparable past jobs, and the person accountable for the margin owns the number that goes to the customer.

Every claim in the draft carries its source, so a reviewer who doubts a statement opens the case study, datasheet or earlier proposal behind it. The draft is delivered in Teams or Slack and as a document in Word or Google Docs, and the team edits it there.

How should a team prepare its proposal library?

  • Keep each winning proposal as a final document, with its price sheet and the discount rules used.
  • Label case studies with sector, year and the product involved.
  • Remove superseded specifications from the datasheets folder.
  • Note why proposals were lost, so the draft avoids the same weak sections.

What does a sales team get in the first week?

The setup scope on the pricing page covers connecting your CRM, email, calendar and market sources, building the knowledge base and configuring the first jobs. For this job the knowledge base is your proposal library: past proposals that won, the pricing logic behind them, case studies, datasheets and your template.

In the pilot calendar, weeks 1 to 2 load that library and weeks 3 to 12 run the job against live opportunities. The quality of the first drafts follows the quality of the library, so a team with a tidy folder of winning proposals starts faster.

What do AI answers cite when buyers ask about proposal and quote drafting?

On 9 October 2026 we asked five AI engines two questions about preparing quotes and proposals from past projects, twice each. The 20 answers cited 130 pages from 62 domains (source: Hastings answer panel, method below). The most cited domain, youtube.com, took 10 citations, an 8% share, and 26 domains appeared once. Perplexity returned the most citations (40) and Gemini the fewest (11).

manus.im65 of 20
tribble.ai53 of 20

The table gives a buyer a shortlist to test. Whichever tool you test, ask how the quote is built from past projects, whether every claim shows its source, and who sets the final price. A managed job adds one more: Hastings runs the agents, and your sales director owns the review and the price.

Where does the job stop?

  • A new offer with no precedent has no winning proposal to learn from, so the sales director writes the first version and the library grows from it.
  • Claims without a source in your material stay out of the draft. The team adds them with their own evidence.
  • The final price belongs to the sales director. The draft proposes the structure of the quote.

For tenders that arrive as formal questionnaires, Tender and RFP desk applies the same approach to public bids. Case studies keeps the proof points in the library current, and Presentation builder turns the approved proposal into a customer deck.

What is on record for the system behind the job?

The system behind these jobs runs live in the marketing organization of a global industrial major operating in more than 100 countries, with 160+ agents in production (source: the Hastings homepage). For your company, the first jobs are configured for your own sales or business development work.

FAQ

Questions buyers ask

Can AI prepare quotes from past projects for a B2B sales team?

Yes. Hastings builds the quote from the pricing logic of comparable past projects and marks the source. The sales director reviews the draft and sets the final price.

Can AI draft sales proposals from our previous winning proposals?

Yes. The draft reuses the structure and wording of proposals that won, adds the relevant case studies and datasheets, and writes in your template.

How fast is a first draft?

The film shows a draft two days before the deadline. The use case summary states the aim: proposal time drops from days to hours.

Where does the draft land?

In Teams or Slack, and as a document in Word or Google Docs.

Does the draft show where each claim came from?

Yes. Every claim carries its source, so a reviewer checks it against the original material.

How was the panel run?

The Hastings answer panel asks ChatGPT (with web search), Gemini, Perplexity, Google AI Overviews and Google AI Mode each prompt twice, in English for the US market, through the DataForSEO service. The prompts for this page were “AI that prepares quotes from past projects for B2B sales teams”; “AI that drafts sales proposals from our previous winning proposals”. The run date is 9 October 2026 and it produced 20 answers. A citation is one linked page in an answer, and the answers column counts how many of the 20 answers cite the domain.
